Protecting confidentiality is central to our mission. This Privacy Policy explains what information we collect, why we collect it, how we use it, when we share it, and the choices you have. Information We Collect

When you interact with ProCareTech we may collect several categories of information. We obtain identity and contact details such as your name, business name, professional role, email address, mobile telephone number, and physical address. We gather professional background information you disclose, including the size of your practice, the electronic‑health‑record platform you use, and any compliance concerns you raise during consultations. Our servers automatically record technical and usage data, which can include your Internet Protocol address, device identifiers, browser and operating‑system details, the pages you visit, the referring URL, and the duration of your session. We keep marketing‑preference records that show whether you have opted in to email or SMS communications and the time windows you specify for receiving them. We preserve support interaction histories, such as ticket threads, call or screen‑share recordings, and chat transcripts. Essential first‑party cookies are set to operate the site, while analytics and advertising cookies load only after you grant consent through the cookie banner. For every SMS opt‑in we record the date, time, Internet Protocol address, and the page on which you provided consent, and we retain these logs for four years.

Cookies and Similar Technologies

Our website places only essential cookies when you arrive so that core features such as log‑in, session management, and load balancing work correctly. Analytics and advertising cookies activate only after you click “Accept All” on our cookie banner. You may delete or block any cookie within your browser. You can also opt out of interest‑based advertising cookies across many participating companies by visiting

. The footer of every page contains a “Manage Cookies” link that opens a full explanatory page where you can change or withdraw consent at any time.

SMS Terms

When you provide your mobile phone number on our website, in our booking portal, or during onboarding, you give express consent to receive automated text messages from ProCareTech. Messages may confirm appointments, announce service alerts, notify you of maintenance windows, or deliver real‑time support replies. Message frequency depends on your requests and will not exceed six texts in any seven‑day period. Standard message and data rates may apply. You can end SMS communications at any time by replying STOP, and you can request assistance by replying HELP. We retain SMS opt‑in logs that show the date, time, internet protocol address, and source of each consent for four years to satisfy audit requirements. ProCareTech never sells telephone numbers. We disclose them only to trusted messaging vendors that deliver texts securely and solely under our instructions. If you opt out by sending STOP we will transmit a single confirmation text and send no further messages until you opt in again.

How We Use Information

We use the information we collect to perform the services you request, such as installing endpoint protection, monitoring network uptime, and resolving support tickets. We send contractual or legally required notices that may include multi‑factor authentication resets, invoice notifications, or critical patch alerts. We deliver the automated text messages described in the SMS Terms. We analyse aggregated usage data to improve our platform and develop new security features. We investigate and mitigate security threats. We handle information as necessary to comply with applicable laws and to enforce or defend our legal rights.

Sharing of Information

ProCareTech does not sell or rent personal information. We share data only with service providers that host our infrastructure, deliver text messages, process payments, or provide analytics services, and we require them by contract to protect confidentiality and act solely on our instructions. We may disclose information to satisfy lawful requests such as subpoenas or court orders, or in connection with a merger, acquisition, or sale of assets provided the successor entity adopts this Privacy Policy.

Children’s Privacy

ProCareTech does not knowingly collect personal information from children under thirteen years of age. If we learn that a child under thirteen has provided personal data, we will delete that information promptly. Parents or legal guardians who believe we may have collected data from a child can contact us at

[email protected].

Data Security

We protect information with industry‑standard safeguards that include transport‑layer security version 1.3 for data in transit, advanced encryption standard‑256 for data at rest, multifactor authentication for all privileged accounts, least‑privilege role assignments, quarterly penetration testing, and annual SOC 2 reviews. Although no method of storage or transmission is completely secure, we continuously improve these controls to reduce risk.

Retention and Deletion

SMS consent records are kept for four years. Contracts and financial statements remain on file for seven years to meet tax obligations. Marketing leads that remain inactive for eighteen months are anonymized, and server logs are deleted after twelve months. You may request deletion sooner where United States law allows.

Your Choices

You may withdraw SMS consent at any time by sending STOP and may obtain help by sending HELP. Each marketing email contains an Unsubscribe link that stops future promotional messages. You can adjust cookie preferences through the Manage Cookies page or within your browser settings. You may request access to, correction of, or deletion of your personal data by emailing [email protected]. ProCareTech serves only United States residents and does not knowingly collect information from individuals outside the country.

Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will appear in a banner on our website. If a change affects SMS terms we will send a single text linking to the revised Policy.
